COVID-19 impacts the way UX Events run events. And we are committed to providing participants with a safe event experience. 

It’s important for individuals to understand the precautions we are taking to ensure safety, and how COVID-19 restrictions may impact them. 

All events hosted by UX Events comply with the bio-safe Rules and Regulations put in place by both Federal and State Governments to ensure the safety of all participants.

We aim to run most of our events as hybrid events (partly in-person and partly online) as far as the hosting state’s COVID-19 restrictions allow. But we may have to switch to an online-only event if in-person gatherings are not permitted. 

What we are doing at events

In accordance with government regulations and venue policies we are implementing measures for all in-person events, these include (but are not limited to):

  • Social distancing
  • Sanitisation stations
  • Density controls to decrease congestion

Attendees who present with flu-like symptoms may not be permitted to attend. These measures may change in line with the latest health advice from the hosting state.

Refunds

For ticket holders

UX Events have a ticket refund policy of refunds up to 30 days before the event. If you are unable to attend an event due to a COVID-19 incident, please request a refund and this will be evaluated on a case by case basis. 

For sponsors

All sponsors involved with UX Events are fully aware of the risks related to official sponsorship in the midst of the COVID-19 pandemic. 

While we intend to deliver on every sponsor agreement, we cannot guarantee that one or all of the items of the agreement are free from the impacts of the COVID-19 pandemic. 

For those items or details that are impacted,  we will notify the sponsor at our earliest convenience. 

If an event has to be cancelled or altered in some way due to the impacts of COVID-19, we cannot guarantee a refund of sponsorship fees. Sponsors may request a refund and this will be evaluated on a case by case basis. 

Event cancellation 

UX Events intends to maintain an online element to every event, so that attendees may participate without in-person attendance. If an in-person element of an event is cancelled due to COVID-19, the event will go ahead completely online. 

If an attendee has purchased an in-person ticket at an additional cost, this additional amount will be refunded to the original account. If an attendee has purchased an in-person ticket at no additional cost, this will be transferred to an online ticket. 

If an attendees ability to attend the event live is impacted by travel restrictions, we encourage the attendee to experience the event virtually. 

If the event is postponed and an attendee is unable to make the new dates, attendees can request a refund or ticket transfer. 

Travel expenses 

UX Events is not responsible for the travel costs of event attendees. If an in-person event has to be cancelled or postponed, we will provide as much notice as possible. However, if a last-minute change to the event schedule is made, the event will go forward as an exclusively online event and no travel costs will be reimbursed.

Covid safe measures 

It is our aim to provide a safe environment for all participants. In accordance with NSW health regulations, UX Events and the host venue aims to provide the following. 

  • Hand sanitisation will be available at all events.
  • Masks may be required at in-person events, all attendees must follow the relevant Public Health Order at the time of the event, and requirements may vary between indoor and outdoor spaces of the venue. 
  • Initial cleaning of all equipment provided at the event. 
  • No-touch policies 
  • Manage access controls, registrations and contact details for all event personnel and attendees 
  • Adapt systems and processes including registrations, catering and crowd flow 
  • Manage the number of attendees in each space to maintain appropriate distancing. 
  • COVID-19 risk assessments in place for each event. 

Our policies may change in accordance with government restrictions and recommendations.
